VAT Return Filing Services in Dubai, UAE
A VAT return is the company’s formal account of the tax it collected, the input tax it is entitled to recover, and the resulting balance for the reporting period. The figures must reflect the underlying invoices, accounting entries, customs records, and adjustments. SS & Co. Global helps businesses bring this information together and file a return that can be traced back to its supporting records.
We offer VAT return filing services for companies in Dubai and across the UAE. Our team collect the relevant records, reconcile them with the general ledger and FTA data, prepare the VAT 201 return, discuss material adjustments with management, and submit the approved figures through EmaraTax.
What Is VAT Return Filing?
VAT return filing is the periodic reporting of a VAT-registered person’s taxable supplies, output tax, eligible input tax, imports, adjustments, and resulting tax position to the Federal Tax Authority. The return shows whether the registrant must pay VAT to the FTA or has excess recoverable tax that may be carried forward or claimed through the refund process.
Â
The UAE standard VAT rate is 5%, yet the return includes more than standard-rated sales and purchases. It also reports zero-rated supplies, exempt supplies, imported goods and services subject to reverse charge, and adjustments relating to earlier transactions. The correct treatment depends on the transaction and the tax period in which it must be declared.
The FTA normally assigns a monthly or quarterly tax period when a business registers. The registrant must file for every assigned period, including a period in which it had no business activity. A nil VAT return still has a deadline and must be submitted through EmaraTax.
Filing is therefore the final stage of a wider accounting process. Sales invoices, supplier bills, customs declarations, credit notes, and journal entries must be recorded correctly before the return can be prepared. A VAT return consultant examines how those records produce the figures reported to the FTA.
Benefits of Accurate and Timely VAT Filing
Accurate filing gives the business a reliable record of the tax collected from customers and the input tax claimed on eligible costs. It also prevents the VAT control accounts in the ledger from drifting away from the amounts reported to the FTA. When those balances agree, finance teams can identify payments, refunds, and outstanding adjustments without rebuilding earlier periods.

Timely filing protects the company from late-submission penalties and gives its treasury team enough time to arrange payment. This is crucial when the period contains a large import, annual contract renewal, property transaction, or other event that produces an unusual liability. Discovering the amount on the due date can create a cash-flow problem even if the calculation itself is correct.
The quality of the return also affects later periods. An omitted credit note may overstate tax now and distort a future correction. An unsupported input tax claim can remain in the books until an FTA review identifies it.
Who Is Required to File VAT Returns?
Every person who is registered for VAT in the UAE has to submit returns, for the tax periods that the FTA has set. This applies to companies that registered because they crossed the required threshold, businesses that opted for voluntary registration, eligible Tax Groups and non-resident businesses that are registered under the UAE VAT rules.
The obligation continues while the registration remains active. A company that stops trading, closes a branch, or falls below the registration threshold must follow the formal deregistration process. It cannot stop filing simply because sales have ended. Returns remain due until the effective deregistration date, including the final return required for the last tax period.
Members of an approved VAT Tax Group do not file separate returns for transactions covered by the group registration. The representative member files one return for the group using consolidated information from all members. That arrangement requires a disciplined closing timetable because a delay or error in one member’s records affects the group return.

Important Filing Deadlines and Applicable Penalties
- Taxation is more than a revenue; it's a tool for development
A VAT return and the related payment are generally due within 28 days after the end of the tax period. If the normal due date falls on a weekend or official holiday, the applicable FTA rules should be checked for the resulting working-day deadline. The exact due date appears in the registrant’s EmaraTax account.
Failure to file a VAT return within the prescribed period can result in an administrative penalty of AED 1,000 for the first violation and AED 2,000 when the violation is repeated within 24 months. Separate penalties apply to late payment, inaccurate returns, failures to maintain records, and errors that require a voluntary disclosure. The amount can therefore extend beyond the initial late-filing penalty.
A proper timetable schedules work before the statutory deadline arrives. Branches and departments submit their records first, finance completes the period closing, the VAT return consultancy performs its review, management approves the figures, and payment is arranged with enough time to clear. The 28-day period should not be treated as 28 days available for bookkeeping.
What Information Is Included in the VAT Return?
The VAT 201 return reports sales and other outputs, expenses and other inputs. It also includes tax adjustments and the final amount that is either payable or recoverable. The return uses values excluding VAT and the related tax amounts, with separate treatment for the categories required by the FTA.
Â
Standard-rated supplies are reported according to the emirate in which the supply is treated as taking place. Businesses operating across several emirates should not allocate sales solely by the location of the head office or customer billing address. The underlying place-of-supply and reporting rules determine the allocation.
Outputs section also covers tourist refunds, relevant reverse-charge transactions, zero-rated supplies and exempt supplies. Output tax may need adjustment for credit notes, bad-debt relief, changes in consideration or returned goods.
Input section reports expenses and other inputs on which the business is entitled to recover VAT. Input also reports input tax under the reverse charge mechanism. The claim should exclude blocked input tax, private costs, unsupported invoices and amounts linked to activities unless a recovery method allows part of the tax to be claimed.
The final calculation compares total output tax with recoverable input tax. When output tax is higher, the difference is payable to the FTA. When the amount of tax that can be recovered is higher the extra amount is carried forward unless the person who is registered submits a request for a refund using the method prescribed.
These figures should connect to the accounting records. The sales value on the return may differ from revenue in the profit and loss statement because VAT timing, exempt income, out-of-scope transactions, deposits, and accounting adjustments follow different rules. The reconciliation must explain the difference rather than force the two reports to match.
Documents Needed for VAT Return Filing
The filing team requires documents that cover every part of the return. These usually include the sales register, the purchase register, the general ledger, the trial balance, the VAT control accounts, the tax invoices that were issued, the supplier tax invoices, the debit notes, the credit notes and details of any tax adjustments.
Importers must provide customs declarations, import VAT statements, or FTA data, freight records and documents that show the importing entity. Exporters need invoices and the evidence that is required to support zero-rating, such, as customs exit documents and transport records when they are relevant. The type of supply determines the evidence that is required.
Bank statements and payment records help test completeness. Fixed-asset schedules support capital purchases while property businesses may need contracts and records that separate residential and commercial supplies. Companies that make exempt and taxable supplies should also provide input tax apportionment calculations.
The company should also provide the previous return and proof of payment. These documents help identify amounts carried forward, earlier adjustments, and differences between the opening VAT ledger balance and the FTA account. A good filing process involves source records and reconciliations; sending a spreadsheet of totals alone leaves the preparer unable to test the figures.
VAT Return Filing Process: A Step-by-Step Guide
1. Confirm the Period and Filing Deadline
The first step is to confirm the tax period the registration details and the name of authorised filer that is shown in EmaraTax. The team then reviews the return to check for carried-forward balances, unresolved adjustments or commitments that affect the current period.
.
2. Close the Accounting Records
The accounting and finance department handles the recording of all sales invoices, supplier bills, imports, credit notes and the related journal entries, for the period. It is very important to make sure the cut-off is correct. This ensures that transactions should only be included in the period based on the VAT date of supply rules.
3. Collect Data from All Business Units
Branches, warehouses, sales teams, procurement, payroll and customs personnel must submit all the data required for VAT return filing. The filing coordinator makes sure that every location and legal entity under registration has provided its records. For a VAT Tax Group this step includes all group members.
4. Review Output Tax
Sales are grouped as standard-rated zero-rated, exempt or outside the scope.
The VAT return specialist checks emirate allocation invoice dates, deposits, exports, credit notes, related‑party transactions and any unusual supplies.
Reported sales are then matched with revenue, receivables and VAT control accounts.
5. Review Input Tax
Purchase invoices are checked for the supplier’s details the customer’s legal name, valid tax information, business purpose and recovery restrictions.
The review separates operating expenses, assets, imports, reverse‑charge entries, exempt‑activity costs and blocked input tax.
6. Reconcile Customs and FTA Data
Import declarations and reverse‑charge amounts are compared with customs records and the figures available, through the FTA.
Differences may arise from incorrect TRNs, imports made by an agent, timing, duplicate declarations or goods cleared under another group entity.
These differences should either be resolved or documented before submission.
7. Prepare and Review the VAT 201
The return is prepared from the reviewed schedules. A second review compares it with the trial balance, prior periods, business trends, and supporting reconciliations. Unusual movements are then discussed with management.
8. Obtain Approval and Submit
The authorised person reviews the position, material treatments and any unresolved points. After the authorised person approves the VAT return filing the Dubai team submits the VAT 201 through EmaraTax. Keeps the submission confirmation.
9. Arrange Payment and Complete the Filing File
Any tax due is paid early enough to reach the FTA by the deadline. The final file should include the submitted return, payment confirmation, source schedules, reconciliations, review notes, management approval, and documents supporting material or unusual treatments.
Common VAT Return Filing Challenges for Businesses
Late or incomplete records are a common obstacle. A supplier invoice may arrive after the accounts close, an overseas service may be booked without reverse charge, or a branch may submit its sales file after review. The filing calendar should set an internal cut-off for each department and assign responsibility for missing information.
Incorrect tax codes create larger problems because they can affect hundreds of transactions. A zero-rated code may be used without export evidence, a blocked expense may be posted as recoverable, or imported services may be treated as ordinary local purchases. The return preparer should review both the code totals and a sample of the underlying transactions.
Customs differences are another recurring issue. Goods may be imported under the wrong TRN, cleared by an agent, or recorded in the accounts in a different period from the customs declaration. If the return simply copies the ledger, it may disagree with FTA import data. If it simply copies FTA data, it may include imports that belong to another entity. Both sources need reconciliation.
Deposits, advance payments, accrued income, asset sales, intercompany charges, exempt income, and out of scope transactions may create discrepancies between the accounting revenue and reported taxable supplies. Reconciliation helps eradicate such differences.
Input tax recovery can fail when an invoice includes the wrong group company, misses an important detail, or relates partly to private or exempt expenditure. The claim must follow the recovery conditions and identify the actual recipient.
Errors from previous periods need separate analysis. Some may be corrected in a later return within the permitted limit and conditions, while others require a voluntary disclosure. Carrying an unresolved difference from quarter to quarter does not correct it. It makes the eventual review harder because the source documents become older and staff may no longer remember the transaction.
